Overview

Kinnelon Public Schools provides chat assistants (“chatbots”) to help families, students, and staff quickly find information about district programs and services.

These chat assistants are created and maintained by the district using OpenAI’s ChatGPT platform, with customized information relevant to our schools.

What Information We Collect

  • When you use a chat assistant, you may type in questions or comments.

  • The chat assistant processes these questions in real-time to generate a response.

  • The district does not request or require you to enter personally identifiable information (PII), such as student names, addresses, or account numbers.

How Information Is Used

  • Your questions are used only to generate a reply from the chat assistant.

  • The district may review general themes and common questions (e.g., “How do I register my child for classes?”) in order to improve district communication and update resources.

  • Individual conversations are not shared publicly and are not used to train OpenAI’s general models.

Who Has Access

  • OpenAI processes the chatbot responses on behalf of the district.

  • Kinnelon Public Schools administrators may review aggregated, non-identifiable data to improve services.

  • No personal information is stored, sold, or shared with third parties.

Your Choices

  • Use of any chat assistant is optional. Families, students, and staff may always contact the district office directly by phone or email for assistance.

  • Please do not share sensitive information in the chat assistants.

Data Retention

  • The district does not keep or store individual chat conversations.

  • General usage patterns (such as the most common questions) may be tracked to improve district resources.
